Documentation

Automatic follow-up starts from the invoice and keeps moving until the owner closes the loop.

The follow-up engine is driven by invoice timing. One invoice becomes one visible reminder schedule, with pre-due checkpoints and weekly overdue reminders after the due date.

Steps

How to handle automatic follow-up in ChaseNow

The first email goes out when the owner confirms send or when the scheduled send date arrives.

ChaseNow calculates the next valid milestone based on the due date and current timing.

If the invoice is already close to due, skipped milestones are ignored rather than backfilled unnaturally.

Once the invoice becomes overdue, reminders continue weekly until the owner marks the invoice paid, pauses it, or writes it off.

Follow-up sequence

First send now, next send already visible

Pre-due milestones around the due date
Due-today reminder
Weekly overdue cadence after the due date
The system is valuable because the next reminder is visible and inspectable instead of living in the owner’s memory.

Notes

Operational notes

The follow-up timeline should always match the actual due date logic shown inside the invoice detail view.

A pause should stop further automated messages until the invoice resumes.

Manual status accuracy is what keeps the automation trustworthy.

FAQ

Does every invoice get the same exact sequence?

No. The engine adapts to when the first send happens relative to the due date.

What happens after the due date passes?

The invoice moves into weekly overdue follow-up until it is resolved.
